FULL TIME, IN-PERSON ROLE AT OUR PARAFIELD OFFICE

We are now looking for a FULL TIME Administration Officer to provide support to our growing team of practitioners and other admin staff,


Perform general administrative duties such as working within agreed priorities, and working independently on routine tasks, accepting more challenging tasks while applying the skills of communicating effectively with a diverse range of clients.

The Role 

This is an IN-OFFICE role based predominately at our Parafield office, Unley location may be required to assist with leave periods.   

​

Deliver efficient and confidential business and administrative support to the Activ8 Mind team, to ensure optimal delivery of services. The role will primarily comprise,

  • Reception and promptness in client scheduling and practitioner calendar management

  • Ensure timely and comprehensive completion of new client on boarding process.

  • Accurate information management is actualised for each client

  • Perform general administrative duties including but not limited to; manage generic emails, booking appointments and re-scheduling of cancelled appointments, management of referrals, meet and greet clients, answering and directing calls, client data entry for new and existing clients, adding cost estimates and due dates, prepare and follow up on service agreements, corresponding with client stakeholders to confirm information, managing payments and Medicare billing forms in accordance with financial policies.

  • To be flexible in managing workload according to urgent and immediate tasks to achieve organisational/team goals to meet conflicting deadlines.

  • Follow up on matters and changes relating to IT, utilities, facilities, suppliers, stationary and amenities purchasing. Housekeeping and light office cleaning as directed.

Essential / Desired qualities:
  • Previous working administration experience from within the medical/ health / allied health / disability sectors

  • An understanding of mental health services and the functioning of the healthcare system.

  • Exceptional communication skills to efficiently interact with clients, client stakeholders, and organisational staff.

  • Strong organisational skills and the ability to multitask, ensuring all administrative tasks are completed on time and efficiently.

  • A keen attention to detail for tracking patient records, billing details, and regulatory compliance documents.

  • Problem-solving skills to address any administrative or operational challenges that may arise.

  • Empathy and understanding to handle sensitive situations

  • Ability to maintain confidentiality and adhere to ethical standards in handling patient information.

  • Proficiency in using healthcare administration software and digital health records.

  • Effective team skills with the foresight to understand and respond to clients and staff needs.

  • High level of experience in Microsoft Office including TEAMS and EXCEL  and ability to operate a range of software programs demonstrating a high degree of accuracy.

  • High level of interpersonal, oral, and written communication skills, able to concisely convey information.

  • To deliver efficient and confidential frontline business and administrative support to our team.

  • Clear, confident and professional phone manner & communication skills.

  • Able to work autonomously and with limited supervision.

  • NDIS worker screening check (or eligible).

  • Working with Children Check (or eligible).

  • Growth mindset and agile.

  • Able to provide positive referees / references.
